Sports Splash Holiday Programme – Terms and conditions

About the Programme

The Sports Splash Holiday Programme is designed and delivered to provide children with fun and engaging opportunities to take part in a wide range of sports and activities during the holiday period. Our focus is on enjoyment within a safe, supervised and controlled environment, helping children to be active, build confidence and develop new skills.

Places and How to Book

  • A maximum of 60 places are available per day. The programme does not operate on a Bank Holiday.
  • Go! Active Household members will have one week to secure a booking before any remaining places are offered to non-members.
  • The scheme is open to children aged 6 to 13 years.
  • Places will be allocated on a first come, first served basis.
  • Bookings will open from Monday 5th October 2026 for Household members and from 9:00am on Monday 12th October 2026 for non-members.
  • All bookings must be made in person at Go! Active reception.
  • Customers may only register children who are listed on their own household account.
  • The cost for non-members is £20 per day, per child. Refunds are not available.
  • Parents/carers must complete a consent form using the QR code provided when registering at Go! Active reception.
  • Places are non-transferable.
  • There will be no waiting list.

Cancellations

  • Parents/carers are encouraged to notify the Go! Active team as soon as possible if a booked place is no longer required.
  • Providing advance notice helps the Sports Development Team manage attendance effectively and, where possible, offer unused places to other children and families who wish to take part in the programme as we are limited to only 60 places per day.
  • This applies to all cancellations, including:
    • Cancellations made with short notice.
    • On-the-day cancellations.
    • Sickness-related absences.
  • Early communication helps maximise participation opportunities and supports the efficient running of the Holiday Club.

Non-Attendance (No Shows)

  • If a child is unable to attend a booked session, parents/carers should notify the Go! Active team as soon as possible.
  • If a participant does not attend a booked session and no prior communication has been received either in person or via a voice message or by email, the absence will be recorded as a no-show.
  • The Holiday Club team will contact parents/carers following a no-show to:
    • Confirm that the participant did not attend.
    • Request that future absences are communicated in advance where possible.
    • Highlight the importance of cancelling spaces that are no longer required so these can be offered to other children and families.

Repeat No-Shows

  • To help ensure places remain available to as many families as possible, attendance patterns will be monitored throughout each Holiday Club programme.
  • Where repeated no-shows occur, the Centre Management Team reserves the right to review future booking requests and take any action considered appropriate to ensure the fair and effective use of available places.

Attendance, Late Bookings and Walk-In Bookings

  • Children should arrive at 9:50am, and no earlier, and must be collected no later than 3:10pm.
  • Subject to availability, walk-in bookings and late bookings may be accepted on the day up until 10:15am.
  • All bookings accepted on the day must:
    • Have a completed consent form.
    • Be processed through reception before joining activities.
    • Include all relevant medical, SEND, photography consent and collection information.
  • No new bookings or arrivals will be accepted after 10:15am. This allows staff enough time to review participant information and safely deliver the programme.

Collecting Your Children

  • All children must be collected by their parent/carer. Children must not make their own way home.
  • The Lead Staff member, such as the Coach or Activity Leader, will remain at the exit door and release children only to the individuals named on the consent form under the “Responsible Person Collecting” section. Participants will only be signed out once they have identified, or pointed out, the authorised person listed on the register.
  • In exceptional circumstances, if a parent/carer needs someone who is not listed on the registration form to collect their child, they must inform Lead Staff in advance. They must provide a description of the person and a password that the person will use when collecting the child. If Lead Staff have any concerns about the person collecting the child, they should contact the main parent/carer for confirmation.

Behaviour Management

  • Parents/carers should read the Behaviour Management Framework before the day of their booking. The Holiday Club team will notify parents/carers of any concerns regarding behaviour or issues that may affect safe participation in games, sports and swimming activities

Other

  • Go! Active reserves the right to cancel the scheme if advised to do so by Public Health Derbyshire.
  • Centre Managers reserve the right to cancel any bookings where they believe the booking system is being misused.
  • The Centre Manager’s decision is final.
